I. FORWARDING A DOCUMENT TO ANOTHER ONBASE USER USING INTERNAL ONBASE MAIL 

Instead of printing an OnBase document and physically handing the document to an OnBase user, it is possible to forward an OnBase document to another user by using OnBase internal email. To forward a document to another OnBase user using OnBase internal email, select a document or a group of documents in either Document Retrieval or Custom Query. Right mouse click on the document(s) you wish to forward and select “Send To > Internal User.”



A Send Mail window will now appear. Please note that the user names in OnBase are based on the first letter of your first name and your last name.


You can select a specific user by using the drop down menu. 

If you want to send the message to more than one user, click the  button to select users and/or user groups. This will open the Select Users window.



Please note that the document(s) you are forwarding will appear in the Attachments field of the Send Mail window.


Enter a subject in the subject textbox field and message in the message field to explain the document you are forwarding and the reason you are forwarding it to them.


When you have completed these steps, click . You will receive a message stating that the message was sent successfully. 



II. RECEIVING FORWARDED DOCUMENTS IN YOUR ONBASE MAILBOX

A. HOW TO SET USER OPTIONS TO RECEIVE NEW MAIL NOTIFICATIONS

All documents that are being forwarded to you will appear in the OnBase Mailbox. In order to receive notifications for whenever you reopen OnBase, your user settings must be changed. To change these settings, go to User > User Options


The User Options window will appear. Make sure that the “Notify on New Mail” checkbox is checked. Once this is checked, when you relaunch OnBase, you will receive a pop up message whenever you have received a new message.


When you now open your OnBase you will receive the following message if you have any new Internal OnBase Email. Clicking „Yes‟ will automatically take you to your inbox.


B. HOW TO HAVE YOUR MAILBOX OPEN WHEN YOU OPEN ONBASE 

By default, your Mailbox does not automatically open when you start OnBase. To make your Mailbox appear automatically when you launch OnBase, Go to User > User Options, and click on the Startup Tab.


Clicking on the Mail checkbox will automatically open your Mailbox when you open OnBase. Please note that you will need to relaunch your client before you see your Mailbox.


The iconized checkbox will open up your Mailbox, but leaves it minimized.


C. HOW TO ACCESS YOUR MAILBOX 

To access your Mailbox, go to Users > Mailbox.


From here, you can view all of your incoming emails and attachments.
