A new feature has been added to OnBase. It is now possible to import any printable document into OnBase. This feature can be used in any program that has printing capabilities.


To get started, open up your OnBase Client. This feature will only work if the OnBase Client is open. When the Virtual Print Driver is active, you will see a printer icon in the task bar, as shown below:


Once the OnBase Client is open, select the document that you wish to print. This could be any type of document: Microsoft Word document, Excel Spreadsheet, PDF, Outlook Message, etc.  Go to the Print menu.


Select the “Hyland Software Virtual Printer” printer and click on the “Print” button. The Import Document dialog box will now appear.



This import window will now ask you to specify the appropriate Document Type and Keywords. Once you specify the Document Type and Keywords, clicking the “Import” button on the lower left side of the window will import the document into OnBase.


Although not necessary, it is recommended that you click on the “Delete File After Import” checkbox. Every time you print to the “Hyland Software Virtual Printer,” the printer generates a temp file of your image and stores it onto your computer.  Clicking on the “Delete File After Import” checkbox will ensure that the temp files are removed once imported.


If you would like to append to a document that already exists within Onbase, “Append Page to Existing Document” flag is checked off. Additionally, make sure that the keywords that you enter matches the document in Onbase that you want to append to.


If you click on the Import button, if you are attempting to append to a document, you will receive this prompt:


Click “Append Page” to add the contents of your document to the document that already exists in Onbase.
